Customer calls

A parts counter or service desk misses calls at the busiest moments, which are exactly the moments customers are ready to buy. Most businesses have no record of those calls beyond a handset display, so the follow-up depends on whoever remembers. A missed call should become a task with an owner, the same way an email becomes a ticket.

What the phone system already knows

Business phone providers keep call detail records: direction, start time, duration, the extension or queue, and whether the call was answered. That is enough to build a missed-call queue without recording anything. Pull the records on a schedule, separate external customer numbers from internal and driver calls, and match the number against your customer list.

A callback queue that people actually use

  1. Every missed external call creates one task, deduplicated by number within a short window so three attempts become one callback.
  2. The task has an owner by default, usually the branch or extension that missed it, and a status: open, attempted, reached, closed.
  3. When the customer calls back before anyone rings them, the task closes automatically from the new call record.
  4. A short daily report shows missed calls, callbacks completed and time to callback per branch.

Metrics worth trusting

Answer rate, missed calls per hour and time to callback come straight from the records and are reliable. Hold and wait times are only reliable if the provider reports queue events; do not infer them from a recording length. If you later add transcription and summaries, keep them as aids for the person doing the callback and make sure customers receive suitable notice that calls may be recorded.

The Call Logs module imports the provider records and lists missed external calls by branch today; the callback queue with owner and status described here is in development. Call AI produces transcripts and rule-based tags; summaries and suggested follow-ups are planned, with human approval before any customer message.
